Email Retention Policies



ExchangeOnline which comes bundled with Office365, has a very unique feature for Email compliance. It is called Email Retention Policies

Exchange Online offers retention policies to help organizations reduce the liabilities associated with email and other communications. With these policies, administrators can apply retention settings to specific folders in users’ inboxes. Administrators can also give users a menu of retention policies and let them apply the policies to specific items, conversations, or folders using Outlook 2010 or later or Outlook Web App.

Improve Team work with Office 365 Groups




Many Companies still use Emails with attachments for Team Collaboration . This is a very inefficient method to Collaborate. Office 365 Cloud Productivity Platform offers multiple ways to Collaborate . Some of the tools are Yammer , SharePoint , OneDrive for Business , Skype for Business.


There is one more method available for Team Collaboration. Its called Office 365 Groups . And the best part is that it is available within Outlook  or can also be used with Outlook Web Access.

Email Security. Monitor Email Forwarding



Email is the de facto mode of Communication in any Organization. But it is also emerging as number one source of data leakage due to its wide use. One common way of data leakage is when a user puts a forwarding rule by which all his mails get auto forwarded to his personal Email id. When such a setting is done without proper authorization , it leads to Data Leakage. And even the poor IT Admin cannot do anything as he does not get notified about this.

However, with Exchange Online , which is the World’s BEST Email system and is part of the Cloud Productivity Suit  Office 365 , the IT Admin can  run series of commands to identify such users.

Email Tip. Use Sweep to Keep Your Inbox Empty

 

Over past few posts I have been talking about how we can get more out of our Email systems. The reason is that for most of us Email is totally indispensable . So if we can squeeze more out of our Email system , it automatically adds to our Productivity.

One sure fire way to increase Email Productivity is to keep our Inbox Empty . I have already discussed a few techniques for the same. Today the focus is to discuss a new feature of Exchange Online called as Sweep. This automated method works on a set policy and is guaranteed to help you de-clutter your Inbox.

Email Tip. Keep Your Inbox Empty

 

Email is the preferred mode of Communication at Work. One major drawback of Work Emails is that they tend to overwhelm the recipient . The volume of Emails is increasing by the day . And if the recipient had not handled the mails ( majority do not) , then the person begins to feel inadequate . There is a slow creepy feeling that maybe an important email is lying in the inbox still waiting to be addressed. And there are literally hundreds and thousands of Emails lying in the inbox. The very thought of looking for an important email in that HUGE pile is scary.

I will talk about a few techniques which will automate the task of keeping your Inbox almost empty. These techniques are best implemented if you use Outlook as the Email client. And in my opinion, if you are not using MS Outlook, then you are not using the BEST Email and personal productivity Client in the World.

Email Retention Policies

 

 

Exchange Online, which comes bundled with Office 365 , has a very unique feature for Email compliance and Management . It is called Retention Policies.

Exchange Online offers two types of policies: archive policies and delete policies. Both types can be combined on the same item or folder. For example, a user can tag an email message to be automatically moved to the In-Place Archive in a specified number of days and deleted after another span of days.

Prevent Email attachment download while using browser

 

 

As Email is getting more and more critical for Organizations of all sizes, people are slowing waking up to the leakage of data via Email. One such area is via download of Email attachments when using a browser .

So here is a Business Situation. The Outlook of the User is configured with Office PC . But if the user has to access mails from outside , he can do so using a browser and his login. And it is here that there is a possibility of Data Leakage . The User can download the attachment from his browser to his Home PC very easily.

Data Loss Prevention in Office 365

 

Office 365 Cloud Service comes bundled with many features which are focused on Compliance and Security . One of such features is Data Loss Prevention or DLP for short . The focus of this feature is to minimize loss of crucial Data which would otherwise be leaked out by internal people.

Office 365 supports various policies which can ensure that if the outgoing message does not comply with the policies, it would either be a) blocked b) warning message is given but message is not blocked c) message routed to internal auditor before being released .

Delegate Access in Exchange Online

 

In Exchange Online , which is a part of Microsoft Cloud Service Office 365 , you can grant access to any folder which is part of your mailbox to any colleague of yours. This takes collaboration between Team members to the next level. Delegate access enables users to access some or all of the mailbox owner's folders and act on behalf of the mailbox owner. The mailbox owner can be a user, or a resource, like a conference room.

Conference room booking using Microsoft Exchange Online

 

Meetings are an essential part of Business . In order to streamline the process of fixing a meeting , there are 2 important steps which need to be managed . The first is to find a suitable date and time when all the attendees will be available . This process can be automated using Meeting Scheduling Assistant , which is a part of Exchange Online. The second is to find which conference room is available on a particular date and time. Office 365 allows us to manage the Conference Room booking.

Office 365 Security with Multifactor Authentication

 

A popular but incorrect misconception about Office 365 is that being a Cloud Service , it is less secure as compared to On Premise Solution. The fact is that Office 365 is more secure than the regular On Premise Solution. The data which travels between the Microsoft Server and the Client device is totally encrypted.

One way in which the inherent security of Office 365 can be enhanced is by using Multi factor authentication .

Office365 New Plans announced

 

In a move to achieve simplification of plans , Microsoft has announced 3 new plans effective 1st October 2014. These plans are for the SMB Customers . SMB means Small & Mid Business Customers. They replace the 2 plans for Small Business and 1 plan for Mid Business which were in existence . There is no change in the Enterprise Plans though. Have a look at the chart which compares the new plans :

Some important points to be noted are:

1) The 3 new plans scale up to the maximum of 300 users. The 2 old plans for Small Business were able to scale upto 25 users only.

2) The Support is 24x 7 phone support. The previous Small Business Customers had only forum based support.

3) You can mix and match between SMB and Enterprise plans . This is a huge benefit. Earlier plans were in Silos meaning that you could not do a mix and match between Small Business and Mid market and Enterprise plans.

4) The older plan which offered only Office Pro Plus @ 720 per month . The new plan is called Business and it gives you Office Std for local installable copy of MS Office plus Office Online which is Office on a browser plus Office for Tablet plus Office for Smart phone plus One Drive for Business with 1 Terabyte Cloud Storage. Note that if you need MS Access, you ned to look at E3 or Pro Plus plan.

5) The existing Small Business Customers will see their cap of users increase to 300. And the existing Mid Business Customers will see their mailbox cost reduce from Rs. 900 to Rs. 750, the next time they renew subscription.

6) Active Directory integration available for all plans.

7) For existing Small Business and Small Business Premium and Mid Business Plan Customers , the action plan is 2 fold. Till 1st October 2015 , they should remain with their current plan. After 1st October 2015, they should upgrade to Business Essentials or Business Premium plan.

Shared Mailbox in MS Exchange Online

 

In every Company , people change. So it always creates a disconnect between the Company and the external stake holders . Mails bounce or go unanswered. To overcome this problem, most of the Companies have a few public email id’s which never change. For example sales, info, service, etc. These are usually listed and given to Customers , vendors and other stake holders. This ensures that even if the person handling that function leaves the Company , the email id need not change.

Mobile Device Management in Office365

 

There is a virtual explosion of Mobile devices at the Workplace. Almost everyone at work now uses his Mobile device for tasks related to work. While this has led to an increase in productivity , the downside is that the Mobile device has now become the single biggest source of leakage of Corporate Data . This is mainly due to the fact that the Corporate IT has no means to manage the User Mobile. Or if there are some 3rd party tools, they are so expensive and complicated to use that the IT does not have the resources to learn and implement the same.
